How To Outsource
Over the years that I’ve been outsourcing to the Philippines, I’ve come across a lot of different ways to find, hire and manage virtual staff, which makes up the “complete” outsourcing process. Take it one step further and you can setup a system which allows everything to be automated and your virtual staff to manage your business. This will allow you to step away and spend that time doing the activities you enjoy with the people you love.
Therefore what I have done is put together a list of articles that can guide you through the process of how to outsource. Many viewers have asked me very similar questions and you will soon find that I have answered most of them in quite a lot of detail with the video tutorials and templates I provide below. If you can’t find anything below that answers your question then I would love to hear about it. Just shoot me your questions or message via my contact page.
Alright, let’s get into! I’ve put everything into different sections for you.
1. Where To Find People To Outsource
Where most people start at the beginning is to jump onto sites like Elance or Odesk to find people to hire and do work for them. I don’t recommend going to those places to start because most of the people there are contractors and looking for project work. If you are looking to setup a business with a team to manage and automate your business, then you need to start thinking of hiring permanent full time virtual staff. I’ve listed JUST 3 sites that I use and recommend because this is where I’ve found full time and part time virtual staff starting at $250 per month.
- Bestjobs.ph - One of Philippines leading job seeking websites. I’ve created a post about why this is an excellent site to use and you can see how to gain access here.
- Get Virtual Staff Finder - This is a service that helps you find virtual staff from the Philippines and is a “quick” service because they do the ground work for you. There is a team in the Philippines that goes out and searches the people to match your criteria and comes back with a list of 3 candidates that best matches. If you are time poor and need virtual staff now, then this service is for you! You can watch an interview I did with the CEO to see why I have used this service numerous times.
- Zirtual.com – This is a very popular site for finding quality virtual staff from any around the world and because they have a strong filtering process in place, only high quality candidates are listed. My good friend Maren Kate created this site for business owners like you and me and I’ve found some great people to work for me.
Also you might be still wondering why hire full time or part time virtual staff? Watch my video on Who Are The First People You Should Outsource To and this will explain why I highly recommend only going this route.
2. How To Outsource To The Philippines
There are a few steps that I recommend you take before you have work sent to your virtual staff. These will help you structure your business much more efficiently and potentially eliminate a lot of unnecessary work. I’ve listed below a list of articles that are relevant to these steps and these are these are the same processes I go through with my virtual staff:
- Apply the 80/20 principle to your business – this is crucial as it helps you plan and eliminate unnecessary work which you may be doing. Once you have this concept in your mind, then take action to outsource the work
- How to hire a virtual assistant webinar (1 hour and 10minutes) -Â Pat Flynn from Smart Passive Income invited me onto a webinar to ask me to share some tips on hiring a virtual assistant from the Philippines. This was a very in depth hour long presentation where Pat asked a lot of the common questions people struggle when they are looking to hire a Virtual Assistant. I share lots of tips, tools and resources that anyone can use.

4. What System Should I Use
- Activecollab – A very robust and practical project management system that I currently use in my own business. It is an all in one package allowing you to track and manage all your projects, upload files, store training materials and is even compatible with mobile devices such as the iphone.
- BasecampHQ – An alternative to Activecollab. I’ve used and tested this system and one of the advantages of this is it’s simplicity and user-friendly interface. There are a few functionalities it lacks such as the ability to store training materials and login passwords plus the cost of storage increases as your team expands. This is really for the beginners and a good system to start off with if you are on a budget.
- Dropbox – This is the fastest way to store and share any file whether is be a document, spreadsheet, video, mp3, image or really anything that you need your virtual team to access. A simple drag and drop file sharing system which is a must for your team. You get 2GB for FREE!
- Productivity Tools I recommend – Part 1 – Inside this article I share with you tools such as Evernote, Lastpass and Freedom, which can help your virtual team save time and increase their productivity.
- Productivity Tools I recommend – Part 2 – In addition to the tools I shared above, these will help you manage your team’s schedule and also track their progress using tools such as Remember The Milk and RescueTime.
